By using EchoStream, you consent to the collection and processing of your personal data as described in this Privacy Policy and our Data Protection & Consent Policy. The Data Protection Policy provides detailed information about your rights under GDPR, the legal basis for processing, data retention periods, and how to exercise your rights.

You have the right to withdraw your consent at any time. To withdraw consent, contact yamovapolina@gmail.com or delete your account from Settings.

2. Information We Collect

We collect information you provide directly to us, including your name, email address, and payment information when you create an account or make a purchase.

We also automatically collect certain information when you use EchoStream, including audio files you upload, transcripts generated, usage data, and log information such as your IP address and browser type.

3. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve our transcription services
• Process transactions and send related information
• Send technical notices, updates, and support messages
• Respond to your comments and questions
• Monitor and analyze usage patterns to improve user experience

4. Audio Data & Transcriptions

Audio files you upload are processed solely to provide transcription services. We do not sell, share, or use your audio content to train AI models without your explicit consent. Uploaded files are stored securely and are only accessible to you.

You can delete your transcriptions at any time from your account. Upon deletion, audio files and transcripts are permanently removed from our systems within 30 days.

If you subscribe to a Business plan, two additional AI-powered features process your transcriptions:

• Client Memory: Builds a relationship profile by analyzing patterns across your stored transcriptions to help you track context with each contact over time. This derived data is computed from your stored transcriptions — deleting a transcription removes its contribution to the memory.
• Cross-Cultural Risk Detector: Analyzes transcripts for phrases that may carry different meanings across business cultures. This is advisory information to help you communicate more effectively, not a definitive interpretation of anyone's intent.

Both features process transcript text through our AI providers (such as OpenAI) under their data processing agreements. We do not use your content to train AI models. Client Memory only uses your own stored transcriptions — we never share one user's transcriptions with another user's Client Memory.

5. Data Sharing

We do not sell your personal information. We may share your information only in the following circumstances:

• With service providers who assist in operating our platform (e.g., payment processors, cloud infrastructure)
• When required by law or to protect our rights
• With your consent for any other purpose

Our third-party processors include Stripe (payments) and OpenAI (transcription and AI analysis). These providers are bound by their own privacy policies.

6. Data Security

We implement industry-standard security measures including encryption in transit (HTTPS), encrypted storage, and strict access controls. However, no method of transmission over the internet is 100% secure.

7. Data Retention

We retain your account information for as long as your account is active. Transcription data is retained until you delete it or close your account. After account closure, data is permanently deleted within 90 days.

8. Your Rights

Depending on your location, you may have rights to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to processing of your data
• Data portability
